Documentation

Create reports, certificates, medical certificates, and applications — or upload your own documents and save them as context within the file. Everything is pseudonymized and encrypted.

Overview

Three Ways to Document

📋
Create a report

mentalhealthGPT drafts for official reports and forms directly from the contents of the case file — progress reports, brief medical certificates, applications, or statements.

  1. Open the "Documents" tab in the folder
  2. Select the "Reports" tab
  3. Select report type — e.g., progress report, medical certificate, brief statement, or application
  5. Review and edit the draft — you retain full control over the text
  6. Export the report or process it directly

📄
Upload document

Preliminary documentation, assessments, previous reports — uploaded documents are available in the dossier for reference. Personal data is pseudonymized in the process.

  1. Open the "Documents" tab in the folder
  2. Select the "Files" tab and click "Upload File"
  3. mentalhealthGPT the text and suggests personal data for pseudonymization
  4. Review the suggestions and confirm the pseudonymization
  5. The document will then be available as encrypted content in the dossier

🔒 The original document is deleted after processing. Only the pseudonymized, encrypted content remains in the file.

✏️
Write notes

Your own observations, professional assessments, or personal impressions — anything the microphone doesn't pick up should be noted in the file.

  1. Open the "Notes" tab in the dossier
  2. Click "New Note"
  3. Enter observations, impressions, or assessments — e.g., body language, mood, treatment considerations

PDF, Word documents (.docx), and text files (.txt) are supported. For other formats, we recommend converting them to PDF first.

The original document is deleted after processing. Only the pseudonymized, encrypted content remains in the file. It is not possible to restore the original.

Can I use my own report templates?

Are documents in the context library also pseudonymized?

No. Documents in the Context Library are not personally identifiable — they contain therapeutic methods, protocols, or professional guidelines, not client information. Pseudonymization is neither intended nor required in this context.

Are the documentation features designed to comply with the nDSG and GDPR?

Ja.
